Sample 1:

We already received the merchandise that we ordered on [Date of Order], however we are rejecting it because it was completely different from the sample product that you sent us. There are some items that don’t look good and it is safe to say that the company will not be using this on the products that we are going to make.

We also wanted to point out that the products were shipped later than we expected. You said that it will be shipped within 2 to 3 days, but it came to our warehouse after 9 working days. We can’t afford to have delivers like this because we are running out of time.

Please issue a refund for these products and pick them up on our warehouse. Thank you for your cooperation.

We decided to reject the goods that you sent us because of several reasons.

First, the products are defective. You sent some sample products before and it was great and it is the reason we decided to order from you. However, the products that you sent were defective.

We also wanted to note the order was extremely late. We already ordered from another source because we are expecting the items to arrive on [Date]. It was more than a week late on the agreed date. We didn’t have the time to send you a message and we ordered to another source.

We are expecting a lot from your company as you have a good track record. We wanted to know what happened and we also demand an explanation. Above anything else, please issue a refund on the goods and please retrieve the rejected goods on the address given to you.

We also attached some of the issues that our Quality Control team found on the products. We are expecting that you will deal with this problem immediately. We would like to have a replacement of these items within 10 days since we will be using them in the development of a new product.
