Sample letter rejecting delivered goods

You are entitled to reject goods at the point of delivery for fair reasons. The following letters address two of them:

  1. Faulty or defective goods
  2. Late delivery when a specified date was required

Letter rejecting delivered goods – Sample 1:

Order no FGD17854

Today your carrier attempted a delivery of [list goods ordered] as per our order no. FGD17854,

However on inspection of the goods we realised that [list reason for rejection – goods not the same as the original samples, some faulty items etc], so we therefore refused to accept the delivery and the carrier was instructed to return the goods to you.

We look forward to receiving the correct replacement items as soon as possible. Please would you acknowledge receipt of this letter and confirm the delivery date for the replacement order.

Letter rejecting delivered goods – Sample 2:

Dear [Supplier],

Re: Order no: RS123456

Today your carrier attempted delivery of the above order. Unfortunately this order is (number) days overdue and, as at the time of the order, we spoecified that ‘time was of the essence’ we had no option but to order the goods from another supplier who was able to make the delivery on time.

We have therefor rejected the order and instructed the carrier to return the goods to you.

We are disappointed that you weren’t able to fulfill our order in a timely fashion but you will understand that it was imperative that we had the goods by the date specified in the original order.

[If you have prepaid for the order then say] Please issue a refund for the goods as soon as you receive them back.
